A backup is a copy of data. Disaster recovery is the plan and capability to restore systems, access, applications, and operations after a disruption. The difference matters.

Leaders should understand two important concepts.

Recovery Point Objective, or RPO, defines how much data the business can afford to lose. If backups run once per day, the business may lose up to a day of data.

Recovery Time Objective, or RTO, defines how long the business can afford to be down. Some systems may need to be restored within hours. Others may tolerate longer downtime.

A practical disaster recovery plan should answer:

• What systems are critical?
• Where are backups stored?
• How often are backups performed?
• Who can initiate recovery?
• How long will restoration take?
• Has recovery been tested?
• What communication happens during downtime?
• What vendors are involved?
• What data loss is acceptable?
• What manual workarounds exist?

Testing is essential. A backup that has never been tested may create false confidence.
